Pre-deployment planning (2–4 weeks before install)
Confirm vehicle inventory and classification
Generate a complete vehicle list with year, make, model, and VIN for every unit in scope. Classify each vehicle as light-duty (OBD-II) or heavy-duty (J1939) to determine gateway model. Flag any vehicles with known wiring modifications or aftermarket accessory installations that may affect install time.
Identify installation site logistics
Confirm whether installation will occur at a central facility, multiple depot locations, or via mobile technicians at customer sites. Verify adequate covered workspace (weather protection, lighting, power access) at each location. Confirm vehicle availability windows — vehicles must be out of service for the duration of their install slot.
Confirm hardware order and delivery timeline
Verify the hardware order against the vehicle classification list. Confirm delivery address and expected arrival date — hardware should arrive at least 3 business days before the installation start date to allow for inventory verification and staging.
Designate an operations contact per location
Identify a named operations contact at each installation site who can handle vehicle key access, driver communication questions, and day-of schedule adjustments. This person does not need to be present continuously but must be reachable during installation hours.
Vehicle preparation (1 week before install)
Inspect OBD-II and J1939 diagnostic ports
Verify each vehicle's diagnostic port is accessible and unobstructed. Check for aftermarket devices currently occupying the OBD-II port (toll transponders, aftermarket GPS units) — these must be removed before the Samsara gateway can be installed.
Verify battery and electrical system condition
Vehicles with weak batteries or charging system faults should be flagged and repaired before the installation date. Gateway connectivity issues in the first 30 days post-deployment are frequently traced back to unstable vehicle electrical systems rather than the Samsara hardware itself.
Schedule driver communication
Send a pre-installation communication to drivers at least 5 days before their vehicle's scheduled install. The communication should explain what is being installed, what it monitors, and what to expect. Vidmatics provides a template communication as part of the deployment package.
Installation day
Verify hardware inventory before technicians begin
Count units by SKU against the packing list before the first vehicle is brought in. Identify and document any discrepancies before install begins — resolving inventory issues mid-deployment causes delays that compress the schedule for remaining vehicles.
Pilot vehicle first
Install and fully configure one vehicle from each major vehicle class before moving to bulk installation. Verify GPS connectivity, cellular uptime, camera angles, and dashboard data visibility for each pilot unit before the batch proceeds. This catches systemic configuration issues before they affect the full fleet.
Document any installation exceptions
Log every vehicle where installation required a deviation from standard — non-standard port location, wiring modification, deferred install due to vehicle condition. These exceptions become the punch list for follow-up technician visits and prevent them from being lost in post-deployment account management.
Post-installation (first 2 weeks)
Verify all units are reporting to the Samsara platform
Within 48 hours of each installation batch, confirm that all installed units appear in the Samsara dashboard and are generating trip data. Units that appear offline should be investigated immediately — early connectivity issues are almost always faster to resolve than those identified weeks later.
Complete driver app enrollment
Track driver app enrollment by batch. Target 90%+ enrollment within 7 days of each vehicle's installation. Drivers who have not enrolled within the first week should receive a direct follow-up from their fleet manager or dispatcher — not a mass communication.
Schedule first coaching review
Run the first coaching score review 14 days after the final installation batch. Use this session to establish baseline fleet safety scores, identify drivers who may need early coaching conversations, and confirm that alert thresholds are calibrated to your fleet's actual driving patterns.
